Weston Cup & Showcase

February 12-15, 2027

GotSport plays an important role in youth soccer tournaments, but the experience can look very different depending on your role.

A team manager may use GotSport to register a team, prepare an event roster, upload check in documents and view the schedule. A tournament operator uses the same platform to manage applications, divisions, schedules, communication, results and standings across the entire event.

At Tournament Success Group, we use GotSport to operate youth soccer tournaments of all sizes. We also see the same problems every season: incorrect team information, duplicate player profiles, incomplete rosters, missing documents and coaching conflicts that were not identified during registration.

This guide serves as a resource for coaches and team managers to prepare for GotSport tournaments, while also highlighting the role that expert tournament management plays in ensuring a smooth event experience.

What Is GotSport?

GotSport is a sports management platform used by clubs, leagues, associations and tournament organizers.

For teams, GotSport can be used to:

  • Register for tournaments
  • Manage team and contact information
  • Prepare event rosters
  • Upload documents for online check in
  • View schedules, scores and standings

For tournament organizers, the platform can be used to:

  • Manage team applications and payments
  • Organize divisions and brackets
  • Build and publish schedules
  • Communicate with participating teams
  • Review check in documents
  • Record results and calculate standings

The options visible inside GotSport depend on the user’s role and permissions. A club administrator, coach, team manager and parent may each see different information after logging in.

How Do I Log In to GotSport?

Teams can access their accounts through the official GotSport login page.

Use the email address connected to your existing club or team profile. Creating another account with a different email address can lead to duplicate profiles and make it more difficult to locate teams, players and tournament registrations.

If your team does not appear after logging in, it usually means your profile has not been assigned the correct role or permissions. Contact your club administrator before creating another account.

Use the “Forgot Password” option if you cannot access your account. Coaches, managers and parents cannot merge duplicate profiles themselves. Account merging must be handled by a club or association administrator.

Finding and Registering for a Tournament

The safest way to register is through the official tournament website or the registration link provided by the event organizer. This helps ensure that you are applying to the correct event and season.

Before submitting an application, confirm:

  • The correct team is selected
  • The age group and gender are correct
  • The appropriate competitive level is requested
  • The coach and team manager information is current
  • The primary contact regularly checks the listed email address
  • Any coaching conflicts are disclosed during registration

Accurate coaching information is especially important. Tournament schedules may be built around coaches working with multiple teams. If those assignments are missing or incorrect, the tournament operator may not know that a conflict exists.

Submitting a coaching conflict does not always guarantee that every request can be accommodated. However, providing accurate information early gives the scheduling team the best opportunity to review it.

The tournament application should also explain important deadlines, fees, refund policies and required documents. Review that information before completing payment.

Understanding Club Rosters and Event Rosters

A club roster and an event roster are not always the same thing.

A club roster identifies the players associated with a team or organization. An event roster identifies the players and staff being submitted for a specific tournament.

A player appearing on the club roster does not automatically mean that the player has been approved for every event.

When roster building is available to coaches and team managers, the process generally begins under “Team Management.” Select the correct team, open the “Rosters” section and choose the applicable event roster.

The exact options may vary based on permissions established by the club and tournament. If the event does not appear or roster changes are restricted, contact the club administrator or event organizer.

Before the roster deadline, verify:

  • Every participating player is included
  • Player names and dates of birth are correct
  • Jersey numbers are updated when required
  • Coaches and managers are properly assigned
  • Guest players have the required documentation
  • No duplicate player profiles were created

Do not wait until tournament weekend to review the roster. Once the deadline passes, the event may restrict changes or require additional approval.

Completing Online Tournament Check In

GotSport provides the upload system, but the tournament determines which documents are required.

Requirements vary based on the event, sanctioning organization, age group and competition rules.

They may include:

  • An official team roster
  • Player passes
  • Guest player forms
  • Permission to travel documentation
  • Medical releases
  • Other documents listed by the tournament

Do not assume that documents approved for one tournament automatically satisfy the requirements of another. Always follow the instructions provided by the specific event.

For a coach or team manager, documents are generally uploaded by selecting:

“Team Management”
Select the team
“Team Registrations”
Select the event
“Registration”
“Edit”

Upload each requested file in the correct location and save the registration.

Each upload field accepts only one file, and individual files must not exceed 20 MB. If the event has not enabled online check in or document uploads, the upload options may not appear. Contact the event organizer instead of uploading documents to an unrelated section of the account.

TSG reviews submitted documents based on the requirements established for each event. The team manager remains responsible for submitting complete and accurate information before the published deadline.

Viewing Tournament Schedules, Scores and Standings

Once released, the schedule is normally available through the tournament’s public GotSport event page. Teams can search by club, team or division to find game times, opponents and field locations.

Schedules are created by the tournament operator, not automatically by GotSport. The platform is used to organize and publish the completed schedule.

Building a tournament schedule requires balancing:

  • Division formats
  • Field availability
  • Game durations
  • Coaching conflicts
  • Rest periods
  • Travel considerations
  • Playoff and championship formats

For a large tournament operating across several venues, one change can affect multiple divisions and hundreds of games. This is why accurate registration information and experienced schedule management matter.

Schedules can change because of weather, field conditions, team withdrawals or operational needs. Team managers should continue checking the official event page and tournament communication before and during the event.

Scores and standings may also be published through GotSport. Point systems and tiebreakers are determined by the tournament rules, not by GotSport itself. Never assume every tournament uses the same scoring or tiebreaker format.

Common GotSport Problems Before a Tournament

My team does not appear in my account: Your profile may not be assigned as a coach or team manager for that team. Contact your club administrator.

The tournament does not appear in the roster section: Confirm that the correct team was registered and accepted. Roster access may also be restricted by the club or event.

I cannot upload check in documents: Confirm that the event has enabled online check in and that you are listed as an authorized coach or team manager. Also check the requested file type and size.

My check-in documents are still pending: A pending roster does not always mean that something is missing. The tournament may still be reviewing submissions. Check the event instructions and contact the tournament if the review deadline has passed.

I created two accounts: Do not continue adding information to both profiles. Contact your club administrator. Only an authorized club or association administrator can merge duplicate accounts.

My schedule conflicts with another team I coach: Contact the tournament immediately. Include both team names, age groups and exact game numbers. Accommodation may not be possible after the schedule has been released, particularly if the conflict was not disclosed during registration.

Frequently Asked Questions

What is GotSport used for?
GotSport is used by clubs, leagues, associations and tournament organizers to manage team registration, rosters, event documents, schedules, communication, results and standings. The information visible to each user depends on their role and permissions.
Log in using the email address connected to your existing GotSport profile. If you cannot access the account, use the “Forgot Password” option. Do not create another account unless instructed to do so, as duplicate profiles can cause roster and team access problems.
Your profile may not be assigned as a coach or team manager for that team, or the correct team may not have been registered for the event. Contact your club administrator first to confirm your role and team assignment. Do not create another profile.
A club roster lists the players associated with a team or organization. An event roster lists the players and staff participating in a specific tournament. A player appearing on the club roster is not automatically approved for every event.
The team manager, coach or authorized club representative is responsible for submitting the required documents before the tournament deadline. GotSport provides the upload system, while each tournament determines the documents and approvals required.
Confirm that you are listed as an authorized coach or team manager and that the event has enabled online check in. Each upload field accepts one file with a maximum size of 20 MB. If several pages are required, combine them into one PDF before uploading. If the problem continues, contact the tournament organizer.
Roster changes may be allowed before the published deadline. Once rosters are frozen, changes require tournament approval and are not guaranteed. Guest players must also meet the tournament’s eligibility and documentation requirements.
Once published, the schedule is available through the official GotSport event page. Search by club, team or division. The tournament determines when the schedule is released.
Yes. Schedules may change because of weather, field conditions, team withdrawals or other operational needs. Teams should continue checking the official event page and tournament communications before traveling and throughout the event.
Coaching conflicts should be disclosed during registration and should include every affected team. The tournament will review the request during scheduling, but accommodation is not guaranteed. Conflicts reported after the schedule is published may be difficult or impossible to resolve.
Tournament communications are sent to the contacts connected to the team’s event registration. Confirm that the correct coach and team manager are listed and that their email addresses are current. Also check spam and promotional folders.
No. TSG manages the tournament setup and operations within GotSport. Club administrators, coaches and team managers remain responsible for their own profiles, team assignments and account access.

How TSG Uses GotSport to Operate Tournaments

GotSport is a valuable platform, but software alone does not run a successful tournament.

Registration must be monitored. Teams must be placed into appropriate divisions. Coaching conflicts and field limitations must be considered. Schedules must work across every age group and venue. Check in documents must be reviewed, and teams must receive accurate information throughout the event.

That is where Tournament Success Group comes in.

TSG works with clubs, associations and event owners to manage the operational side of youth soccer tournaments. Our experience includes major events such as Weston Cup & Showcase, with more than 1,400 teams and nearly 3,000 games played across multiple venues.

Depending on the needs of the event, TSG can support:

  • Tournament setup and registration
  • Team application management
  • Division and bracket development
  • Field planning and scheduling
  • Team communication
  • Online check in coordination
  • Score reporting and standings
  • Tournament weekend operations

TSG does not replace the team manager or take over individual club accounts. We build and manage the tournament structure that allows every participating team to move through the event more efficiently.

If your club, association or organization is planning a tournament and needs experienced operational support, contact Tournament Success Group.

Let TSG Handle It for You

GotSport is a powerful system, but between registration, roster approvals, document verification, and live scheduling, managing it well takes real time and experience. Tournament Success Group has years of hands-on experience running GotSport — along with platforms like Demosphere, Tourney Machine, and SincSports — for clubs, associations, and tournaments across the country.

If your organization would rather focus on the soccer than the software, contact TSG and let our team manage your next tournament’s registration and scheduling from start to finish.
